Key Responsibilities
- Oversee daily office operations, keeping our space organized, welcoming, and running like clockwork.
- Manage relationships, negotiate terms, and oversee services with external vendors and providers. You'll also take charge of ordering stationery, office equipment, and managing overall facilities.
- Arrange and book business trips (including transport and accommodation) and coordinate transport for mail delivery, maintenance, and repairs.
- Prepare, manage, and record official correspondence and unit communication while ensuring everything is perfectly organized in our systems.
- Partner with our Finance department to ensure smooth and timely invoice handling.
- Ensure our workplace strictly complies with safety standards and maintain all relevant documentation.
- Bring our team together by helping to organize exciting company events, celebrations, and conferences.
Skills & Experience
- You bring 2+ years of experience in office administration or a similar workplace management role.
- You have excellent time-management skills, strong attention to detail, and a proactive, "can-do" attitude.
- You can think on your feet, react quickly, and easily adjust to various tasks in a fast-paced environment.
- You possess strong interpersonal skills and are fluent in English (both written and spoken). Knowledge of Russian is a fantastic bonus!
- You are highly reliable and have a proven ability to handle confidential and sensitive information with absolute discretion.
