Project Manager / Production Coordinator

We are looking for a highly organized, proactive, and detail-driven Project Manager / Production Coordinator to help bring more structure, clarity, and control into our projects.

You would be responsible for managing projects from brief to delivery, keeping track of timelines, next steps, deadlines, deliverables, and follow-ups, and making sure nothing falls through the cracks.

The role includes coordinating communication between the internal team, freelancers, suppliers, and clients, following budgets, scopes, and approvals, organizing schedules, calls, meetings, production logistics, and supporting production planning for shoots, travel, crew, equipment, and deliverables.

You would also help maintain order across internal tools such as Notion, trackers, project boards, and shared documents, while supporting the wider team in making projects run efficiently.

We are looking for someone who is extremely organized, detail-oriented, reliable, and proactive.

You should be confident in communication with clients and teams, strong at project tracking and follow-through, able to manage multiple moving parts at the same time, and comfortable working in a fast-paced creative environment.

Requirements:

Strong sense of ownership and responsibility

Strong advantage if you have:

Experience in a creative agency, production company, marketing agency, or content team
Experience coordinating shoots, campaigns, content productions, or creative projects
Experience with budgets, suppliers, freelancers, schedules, and approvals
Experience using Notion, Asana, Trello, Monday, Airtable, Google Workspace, or similar tools
Understanding of photo, video, and social content workflows

This role is key to helping CTRL Pictures become a stronger, more structured, and more reliable creative partner for our clients.

We already create strong content and deliver high-level creative work, but we are looking for someone who can help make sure projects run smoothly behind the scenes — that communication is clear, deadlines are met, budgets are followed, and the team always knows what needs to happen next.

This is not just a support role. We are looking for someone who can become a key operational person in the company and help build a more organized way of working across client projects and internal processes.
